1. Who we are

This policy applies to Vic Energy Deals ("we", "us", "our"), through vicenergydeals.com.au, our social media pages and our advertising, including Meta (Facebook and Instagram) and Google lead forms.

Vic Energy Deals is an independent third-party referral service. We are not an installer or retailer. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect

• Contact details: your name, mobile number, email address and postcode, and your street address if you provide it.
• Property and enquiry details: whether you own the property, whether you have solar, phase supply, roof type, energy use, the deal you're interested in and the best time to call.
• Communications: records of calls, messages and emails with us.
• Consent records: what you agreed to, and when.
• Technical information: IP address, device and browser type, pages visited, and advertising click identifiers (such as Google and Meta click IDs), collected through cookies and similar tools.
• Updates from partners: whether a partner installer contacted you and the outcome of your enquiry, so we can check service quality and settle referral fees.

We don't ask for sensitive information such as health details. Please don't send it to us.

3. How we collect it

• When you complete a form on our website or a lead form in a Meta or Google ad.
• When you call, message or email us.
• Through cookies, pixels and similar tools on our website, if you consent to them.
• From partner installers, about the progress of your enquiry.

4. Why we use it

• To respond to your enquiry and pass it to the partner installer offering your chosen deal.
• To check that you're in Victoria and that the offer may suit your property.
• To follow up and check you were contacted and happy with the service.
• To send you future offers, only if you opted in. You can unsubscribe at any time.
• To measure and improve our website and advertising.
• To meet our legal obligations and resolve disputes.

If you don't provide your contact details, we can't pass on your enquiry.

5. Who we share it with

• Partner installers. We share your enquiry with the approved partner seller offering the deal you pick. If you choose "not sure", we may share it with up to three partner installers so you can compare quotes. Partner installers handle your information under their own privacy policies. You can ask us which installers received your details.
• Service providers. For example, website hosting, CRM, email and SMS platforms, and call support, who handle information on our behalf under confidentiality obligations.
• Advertising platforms. Google and Meta receive website activity data through their tags (if you consent), and may receive hashed (encrypted) contact details so we can measure ad results and limit ads you see.
• Professional advisers, regulators and law enforcement, where required or authorised by law.

We do not sell your personal information to data brokers or list sellers.

6. Overseas storage

Some of our service providers, including Google, Meta and our CRM and email providers, may store or process information outside Australia, including in the United States. We take reasonable steps to make sure they protect it in line with the Australian Privacy Principles.

7. Calls, SMS and email

When you submit an enquiry, you agree that we and the partner installer(s) can contact you by phone, SMS and email about that enquiry, including if your number is on the Do Not Call Register. We send marketing messages only with your consent, in line with the Spam Act 2003 (Cth). Every marketing email has an unsubscribe link, and you can reply STOP to any SMS. To stop all contact, email us at the address below.

8. Cookies and advertising tools

We use:

• Essential cookies to run the site and remember your cookie choice.
• Analytics cookies (such as Google Analytics) to understand how the site is used. Only with your consent.
• Advertising tags (such as the Meta Pixel and Google Ads conversion tag) to measure our ads and show relevant ads. Only with your consent.

You can change your choice at any time using "Cookie settings" in our website footer, or block cookies in your browser. You can also manage ad preferences through Google Ad Settings and your Facebook and Instagram ad settings.

9. Security and retention

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including access controls and encrypted connections. We keep enquiry information only as long as we need it for the purposes above, usually no longer than 24 months after our last contact with you, unless the law requires us to keep it longer. We then delete or de-identify it.

10. Access, correction and deletion

You can ask to access or correct the personal information we hold about you, or ask us to delete it. Email us using the details below. We'll respond within 30 days. We'll also ask the partner installers we shared your details with to update or delete them.

11. Complaints

If you have a privacy complaint, contact us first and we'll respond within 30 days. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
